Privacy Policy

This policy explains what personal data SPARKZ NETWORK LIMITED ("we", "us", "our") collects, why, and what rights you have over it. We are the data controller for the personal data described here.

We are registered with, and answerable to, the UK's Information Commissioner's Office (ICO). We handle personal data in line with the UK GDPR and the Data Protection Act 2018.

The personal data we collect, and why

When you buy or use our services. To open an account and provide hosting, domains, email and related services, we collect and process your name, business name, billing and contact address, email address, phone number, the services you order, and your billing records. This is handled through our billing system (WHMCS) at our client portal. Payment card and bank details are collected and processed by our payment providers, not stored by us. *Lawful basis: performance of our contract with you; and legal obligation for keeping accounting records.*

When you contact us. If you use the contact form, email us, phone us, or open a support ticket, we collect the details you give (such as your name, email and message) so we can reply and help. The contact form is delivered to us through our email provider, Brevo. *Lawful basis: our legitimate interest in responding to and supporting enquiries; and, where you are a customer, performance of our contract.*

When you subscribe to updates. If you sign up to our mailing list, we collect your email address to send you occasional updates, through Brevo. You can unsubscribe at any time using the link in any email. *Lawful basis: your consent.*

When you register or transfer a domain. Registering a domain requires us to pass registrant details (such as name and contact information) to the relevant domain registry — for example Nominet for .uk domains — and, subject to the registry's rules and any privacy options, to the public WHOIS. *Lawful basis: performance of our contract with you, and compliance with registry requirements.*

When you use the Site (technical data). Our servers keep standard logs — including your IP address, browser type and the pages requested — which we use to run the Site, diagnose faults, and protect against abuse and security threats. *Lawful basis: our legitimate interest in the security and proper operation of our services.*

Analytics. Where analytics is enabled, we use a privacy-first, cookieless analytics tool that measures aggregate usage (such as page views and referrers) without cookies and without collecting information that identifies you personally. *Lawful basis: our legitimate interest in understanding how the Site is used.*

Cookies and local storage

We do not use advertising or cross-site tracking cookies. The Site stores a small preference in your browser's local storage to remember your light/dark theme; this stays on your device and is not sent to us. When you log in to the client portal, that system may set cookies that are strictly necessary to keep you signed in.

Our analytics is cookieless and does not run until you allow it. On your first visit we show a short banner where you can Accept or Decline; nothing non-essential loads unless you accept, and the site works the same either way. You can change your choice at any time using the Cookie settings link in the footer.

Who we share your data with

We do not sell your personal data. We share it only with the service providers that help us run the business, each acting under a contract that requires them to protect it, including:

  • Brevo — sending the contact form and our newsletter;
  • our billing system provider and payment providers (including GoCardless for Direct Debit, and our card payment processor) — to take payment and keep billing records;
  • domain registries (such as Nominet) — to register and manage domains;
  • Microsoft — where you buy Microsoft 365;
  • our infrastructure and network providers (including, where you choose it, Cloudflare) — to host and protect your services; and
  • our analytics provider, where analytics is enabled.

We may also disclose personal data where the law requires it, or to protect our rights, our platform, our customers or others (for example, in response to a valid legal request or to deal with abuse or a security incident).

Where your data is processed

Your website, databases, email and backups are held on servers in UK data centres. Some of the providers above process limited personal data (such as an email address) outside the UK — for example in the EU or, for global providers like Microsoft and Cloudflare, elsewhere. Where data leaves the UK, it is protected by appropriate safeguards, such as a UK adequacy decision or standard contractual clauses.

How long we keep your data

We keep personal data only as long as we need it:

  • account and billing records for as long as you are a customer and then for the period we are legally required to keep financial records (generally six years);
  • enquiry and support correspondence for a reasonable period after the matter is closed;
  • newsletter data until you unsubscribe; and
  • server logs for a limited period, after which they are deleted or aggregated.

When we no longer need personal data, we delete it or make it anonymous.

Your rights

Under UK data protection law you have the right to: be informed about how we use your data; access a copy of it; have inaccurate data corrected; have data erased in certain circumstances; restrict or object to certain processing; data portability; and, where we rely on consent, to withdraw it at any time. Exercising these rights is free, and we will respond within one month.

To exercise any of these rights, contact us at support@sparkz.network. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113 — though we would rather you told us first, so we can put it right.

Changes to this policy

We may update this policy from time to time. When we make a significant change we will update the date at the top and, where appropriate, tell you directly.
